Hotel Room

Overview

The Hotel Room tab allows you to assign specific rooms to a booking from the pool of available rooms at the selected hotel. This gives you control over the exact room, floor, and room number that will be allocated to the guest.


Purpose

  • Manually allocate a specific hotel room to a customer based on availability.

  • Respect customer or internal preferences (for example, floor level or room number).

  • Ensure that tickets and internal lists contain clear room assignment information.


Preconditions

  • A hotel must already be selected for the booking.

  • Room availability must be configured for that hotel in the system.


Instructions

  1. Open the Hotel Room tab

    • Navigate to the relevant booking.

    • Click the Hotel Room tab.

  2. View available rooms

    • A list or grid of rooms is displayed for the selected hotel.

    • Green‑marked rooms indicate rooms that are currently available to be assigned.

  3. Select a room

    • Click one of the green‑marked rooms to assign it to the booking.

  4. Save the selection

    • After selecting the room, click Save to confirm your choice.

    • The selected room is now linked to the booking.

  5. Print the ticket with room details

    • Go back to the main Booking tab.

    • Click Print Ticket.

    • The assigned room number is printed on the ticket so that both the customer and the hotel can see the exact room assignment.


FAQ

Is it mandatory to assign a specific room number?

This depends on your company’s procedures. The system allows you to assign a room when you need a specific room number. If your company does not require pre‑assignment, the hotel can typically allocate a room on arrival according to its own processes.


What should I do if no rooms are marked in green?

If no rooms are marked as available:

  • There may be no free rooms of the selected type for the chosen dates, or

  • Allotments and room availability may not be set up correctly.

In this case, verify the hotel’s allotments and availability, or contact the person responsible for hotel setup or contracting.


Can I change the room after I have already assigned one?

Yes. Reopen the Hotel Room tab, select another green‑marked room, and click Save again. Then reprint the ticket so the updated room number appears on the customer’s documents.


Where will the assigned room information be visible?

The assigned room number is:

  • Printed on the ticket for the customer.

  • Available in the booking for internal users and may appear on relevant hotel/operations lists, depending on your setup.
