Special Offer

Overview

The Special Offers tab lets you set promotional prices and discounts. Use it for specific room types and specific booking conditions.

You can create 4 rule types:

  • Room cost

  • Extra bed cost

  • Early booking

  • Stay & Pay

Interface Description

Filters & Controls

  • Contract / Room Code / Period: Filter offers by contract, room code, and period.

  • Booking Date / Departure Date: Set the date range you want to review.

  • Display / Clear: Apply filters or reset them.

  • Show All / Unlock Service / Create

    • Show All: Show all offers, ignoring filters.

    • Unlock Service: Unlock fields for editing.

    • Create: Create a new special offer rule.

Special Offers Table Columns

Column Name

Approved

Lock/unlock icon showing approval status.

Rule Type

Type of special offer (e.g., Early Booking, Extra Bed, RoomCost).

Arrival Start / End

Period in which the guest must arrive for the offer to apply.

Booking Start / End

Date range during which the booking must be made.

Days B. Arr

Days before arrival when the booking must be created.

Room

Specific room codes the offer applies to.

Price 1st / 2nd / 3rd / 4th

Price or discount value for the selected period interval.

Min Days

Minimum number of nights to qualify for the offer.

Send List Date

Deadline for sending the list to the supplier.

Deposit Date

Deposit deadline for the offer.

D.Percent

Discount percentage.

SLDBA

Send list days before arrival.

PD

Per day checkbox. If enabled, the value applies per day.

ATD

Add to default rule (for Early booking only) - if "on", the Special Offer Early Booking rule will not overwrite the contract Early Booking rule, but add to it. It will be added in the following manner:

  • contract Early Booking rule will apply first

  • and the Special Offer Early Booking rule will be applied on that result

  • Please note! - if the cost of a particular day would be 0 (for various reasons, may be the last 2 days of a Stay 7 pay 5 days rule), then the adding of a discount (Early booking or other) will not result in a negative amount cost but still zero.

NP

Normal price checkbox. If enabled, the value is treated as a price.

PP

Per pax checkbox. If enabled, it applies per passenger.

%

Percent checkbox. If enabled, the value is treated as a percent.

PR

Per room checkbox. If enabled, it applies per room.

Period

Period interval (1–4).

From Age / To Age

Age range for which the offer applies (e.g., children).

S.Days No

Stay days number.

P.Days No

Pay days. Used with Stay & Pay rules.

EBP Disc.

Customer Early Booking discount.

Contract

Contract reference.

Date

Rule creation date.

EB

Combine with Early Booking. If disabled, EB wins over S&P.

S&P

Combine with Stay & Pay. If disabled, S&P wins over EB.

IG.S&P

Ignore Stay & Pay. Applies EBD even if S&P is better.

NOTE

R

Rejected.

Author

Username of the person who created or modified the offer.

Notes & Best Practices

  • Check Approved before you troubleshoot pricing.

  • Confirm Booking and Arrival ranges match the intended season.

  • Use Min Days to prevent short-stay leakage.

  • Use NP only when you mean “fixed price”, not “discount”.

  • Be careful with Unlock Service. It can override locked values.

FAQ

1. Why is my Special Offer not applied?

Q: The booking matches the dates, but pricing does not change. Why? A: Check these first:

  • The rule is Approved.

  • The booking is inside Booking Start/End and Arrival Start/End.

  • The room matches Room and the correct Contract / Period is selected.

  • Min Days and Days B. Arr are satisfied.

  • The value is configured correctly (price vs percent vs per room/pax).

2. What does “Approved” mean?

Q: Do rules work without approval? A: Typically no. Approval is the “live” switch for the rule.

3. What is the difference between NP, %, PR, and PP?

Q: Which checkboxes should I use for a normal discount? A: Most discounts use:

  • % when the value is a percentage.

  • PR when the discount is per room.

  • PP when the discount is per passenger.

  • NP only when the value is a price, not a discount.

4. How does ATD work on Early Booking rules?

Q: Will my special offer replace the contract Early Booking? A: Not if ATD is enabled. It will stack on top of the contract rule.

5. Can Early Booking and Stay & Pay be combined?

Q: Which rule wins if both exist? A: It depends on EB and S&P:

  • If EB is disabled, Early Booking wins.

  • If S&P is disabled, Stay & Pay wins.

6. Where do notes show up?

Q: If I add a NOTE, who can see it? A: Notes show on Notifications and on the Hotel page.
